Payroll & Benefits Specialist – Temporary Part-Time (1 year term)

Who We Are: Aunt Leah’s Place is a non-profit organization that helps prevent youth in foster care from becoming homeless and mothers from losing custody of their children. Aunt Leah’s Place aims to support youth on their journey to self-sufficiency; providing supported housing, job training, and education on essential life skills.

Job Summary: Aunt Leah’s Place is seeking a Payroll & Benefits Specialist to join our dynamic team, for approximately a one-year term, working closely with Finance and Human Resources.

The Payroll & Benefits Specialist is responsible for providing excellent service to cross-functional stakeholders to ensure that payroll and benefits programs are delivered in an accurate and timely manner. As the primary point of contact on payroll and benefits matters, this individual will exercise critical and forward-thinking skills in order to ensure Aunt Leah’s payroll processes are operating at maximum efficiency.

The Payroll & Benefits Specialist is to ensure compliance with all regulatory bodies, while the information remains confidential, by adhering to legal and ethical standards. The individual must also demonstrate a high level of professionalism, integrity, trust, and confidence.

Reports To:  Executive Director (in the interim) 

Salary: Starting at $26.00 per hour

Qualifications & Requirements:

  • Post-secondary education in Accounting, Payroll, Human Resources, or a related discipline
  • Minimum three (3) years of Payroll and Benefits experience or an equivalent combination of relevant education and experience
  • Experience with payroll third-party software such as RISE People
  • Undergo and maintain a satisfactory Criminal Record Check and Local Police Information Check

Assets:

  • Payroll Compliance Practitioner Certificate from a recognized institution, or working towards certification is considered an asset
  • Previous experience in payroll processing with the ability to lead the payroll process as the subject matter expert

  • Strong knowledge of current legislation related to BC Employment Standards Act, payroll and benefits
  • Strong project management; and payroll systems implementation skills
  • Advanced analytical, critical thinking and research skills with the ability to trouble-shoot and problem solve
  • General accounting knowledge, including accounting principles and practices
  • Excellent interpersonal, communication both verbal and written and presentation skills
  • Ability to work collaboratively as a key member of a team and independently with minimum supervision
  • Ability to handle sensitive and confidential information with discretion
  • Meticulous attention to detail, refined organizational and time management skills

Key Duties and Responsibilities:

  • Administer all aspects of the payroll process and benefits program in an accurate and timely manner
  • Respond to payroll and benefits-related queries in a timely manner
  • Lead the payroll and benefits reconciliation
  • Assist in the preparation of the annual payroll and benefits budget and quarterly forecast
  • Prepare payroll and benefits allocations to various programs
  • Play a key role in the transition to a new payroll processing system through a payroll service provider
  • Receive and process payroll onboarding documentation (tax forms, new hire form, direct deposit set up) and integrate it into HR/payroll system
  • Update tax forms annually and other payroll & benefits-related forms
  • Administer and manage all group benefits plans from set-up to termination (including LTD applications)
  • Process all pay and benefits adjustments
  • Prepare and reconcile monthly RRSP contribution payments, dental plan premiums, and group health insurance premium payments
  • Liaise with external business partners for the annual group benefits plan renewal
  • Work with external benefits providers to set up information sessions regarding any changes or updates to the group benefits plan
  • Participate in salary surveys and prepare annual reports
  • Research and respond to wage loss requests from WorkSafeBC, ICBC, and Law Firms
  • Respond to payroll-related audit requests
  • Respond to Wage Garnishee Orders
  • Prepare Employment Verification Letters
  • Prepare WorkSafeBC BC payroll reports and calculate and remit WCB quarterly payments and annual filing
  • Submit WorkSafeBC Form 7 and monitor Employer Cost Reports
  • Review, and analyze Employer Health Tax (EHT) quarterly remittance payments and prepare annual EHT filing and payment reconciliation
  • Prepare and ensure accuracy of T4, T4A, T5007, T4A-NR, and other tax forms that may arise from time to time
  • Update payroll data tracking for each staff member
  • Work with HR & Department Managers to ensure paid time off (e.g. personal time, vacation, and banked time) is accurate
  • Prepare final pay and file Record of Employment (ROE) electronically
  • Assist with periodic compensation and benefits analysis
  • Provide back-up support for the HR/Finance Departments as required
  • Other related HR/Finance duties as required

Physical Demands & Work Environment:

  • Temporary Part-Time; Hours of Work will be generally 30 hours per week/ 7.5 hours per day; generally scheduled between Monday – Friday with occasional evening and weekend hours, as needed
  • Primarily based out of the New Westminster Office; this position involves office work including sitting at a desk using a computer for the full work day; work could be performed remotely in a hybrid model

Aunt Leah’s Place strongly encourages all employees to be fully vaccinated (2 doses) for COVID-19. Rather than a mandatory vaccine policy, we are implementing a voluntary disclosure of vaccination. Employees will fill out a “voluntary disclosure” form indicating their vaccination status. Employees that do not wish to voluntarily disclose their vaccination status will be considered unvaccinated for operational planning purposes. The voluntary disclosure form will be included in the hiring process.
